First tasks of a special section editor are to:

  • Devise a call for papers that includes deadlines for submission of contributions (unless these have already been solicited) and the URL for submission to the system (MANDATORY)

  • Finalise this call for papers with the WJE General Editor before publicising.

  • This information will be updated on the WJE website.

  • As the Special Section Editors, please send the call out 2-3 times, such as through your email networks and social media channels over a 2 month period. The call will need to include a link to WJE.

  • If authors have trouble with any submission process, please contact the Journal Manager in the first instance, with as much detail as possible to expedite the process.

Once papers are submitted to WJE and assigned to the special section, you will need to attend to the following:

  • ALL submissions and reviews MUST use the online system. THIS IS MANDATORY. The system keeps track of all communication, the reviews and timelines.

  • Select reviewers from the database and/or your other contacts (use postage icon within the site to invite reviewers through email - feel free to amend body of the stock email to personalise it).

  • Assign the relevant review form from the WJE site - ask the General Editor if you are unsure about this.

October (or earlier)

To meet the deadline all papers need to be out for review before the end of this month (ie October, issue 1; May, Issue 2).
ALL REVIEWERS TO USE THE ONLINE REVIEW FORM PROCESS. Special Section editors to remind reviewers of this.

November/ early December

June-July

First round of reviews are:

  • Completed (give reviewers three weeks for this - feel free to amend the stock email request content to personalise it a little more)

  • If you have queries about how to share review feedback with authors, please ask the General Editor for support. This might include what to do with contradictory reviews.

  • Advise authors about the next steps/timeframe for completion of amended article (about two weeks - but can be negotiated if necessary). PLEASE ADD THESE DATES TO YOUR DIARY REGARDING CHECKS ON PROGRESS.

January– February

July (in the year of publication)

Issue/section editor(s):

  • Review amended articles

  • Organise the order of the articles for the Table of Contents

  • Write introduction to issue/section (may also include an informal short video intro - please seek advice from general editor about this)

  • When the set of papers is ready for copy editing, please alert the General Editor who will advise on next steps.

  • The General Editor will advise the Journal Manager when all the articles are through the review process.

  • The WJE Journal Manager will communicate directly with authors while undertaking the copyediting, proofreading, layout editing and final publication.

February

August

All articles ready for Journal Manager for layout editing, copy editing, proofreading and publishing.

April

October

Journal Manager sends articles through to authors with copyediting and proofreading suggestions for approval. Articles are then finalised for uploading in the journal gallery.

General Editor signs off the whole issue.

May

November

Issue is published online and publicised by the Journal Manager.

Special Section editor(s) to publicise through the database of reviewers, section authors and wider networks (eg social media channels)
Special section editors congratulate authors and thank reviewers. The expectation is that reviewers are listed in the journal in the following year.
